Because work is
enough work already.

Because work is enough work already.

Field Notes

How to organize a shared drive your whole team can use.

Start with one active area. Do not try to rearrange every file at once. Agree where current work lives, who owns it and how a colleague would go looking for it. Test those choices before you move anything else.

Choose one area and one owner

Pick a set of records people use right now, like current jobs. List where they live today and who gets to say which copy is current. Before you move or delete anything, agree a backup or recovery plan with whoever administers the system.

Sketch a folder map people can guess

Here is a sample to adapt. It is not a required structure. Give each job a stable identifier. Keep private employee and finance records in their own areas with their own access controls.

  • Active jobs / Job ID and customer / Quotes
  • Active jobs / Job ID and customer / Approved documents
  • Active jobs / Job ID and customer / Working files
  • Completed jobs / Year / Job ID and customer
  • Team instructions / Current procedures

Choose names that answer a question

A sample file name looks like JOB-104_2026-10-14_Site-notes. Agree which identifier, which date and which document type your team needs, and say what the date means. Keep the rule short enough to follow while the phone is ringing.

Decide how you will mark the approved copy. A clearly marked approved folder, or one controlled current document, beats another file called final.

Test the map with someone else.

Ask a colleague to find a current job document and file a new one, with no coaching. If they guess the wrong folder, fix the structure or the instructions before you move more records.

Print your shared drive cleanup checklist

Use one sheet per area. Decisions about files nobody is sure about stay with the person who owns the records.

Use your browser’s Print command to print this guide or save a PDF. The worksheet starts on a fresh page.

Area and owner ____________________

Date to review the new structure ____________________

  • □ A small sample set works before the big move.
  • □ Likely duplicates have been compared before anything is removed.
  • □ The owner has looked at the stale records and decided what to archive.
  • □ Private records are limited to the people who should see them.
  • □ Links and access have been checked after the files moved.
  • □ The team knows where to file the next new document.

Move in batches and leave a map

Tell the team when each area is changing and where it is going. Check the shortcuts, shared links and workflows that still point at the old spots. Ask the administrator to review ownership and permissions in the real system. Google Drive, Dropbox and SharePoint have different settings, and all three can follow the same clear filing rules.

Want a hand with the next step?

Shared drive organization and digital file cleanup. Get It Together, Denver does the organizing on site. Innovation Theory does the technical work, including AI and automation. Packages start at $5,000. The first step is a free video walk-through. Use it to work out where help would actually be useful.
